Accessing ACIR using HPOS

HPOS enables ACIR users to submit immunisation encounters which are records of immunisations, view immunisation history, request reports and update provider contact details.

HPOS enables the ACIR users to submit immunisation encounters which are records of immunisations, view immunisation history, request reports and update provider contact details.

You can use HPOS to complete the following ACIR tasks:

  • view and update immunisation records for children and young individuals
  • request, view or modify ACIR reports
  • view your ACIR claims submitted online and your most recent ACIR statement of payment
  • update your contact details with ACIR, and
  • send secure emails to the ACIR

To notify us of incorrect information or missing immunisation details you can call the ACIR.

Register and request access

You must be recognised as a vaccination provider before you can access the ACIR service in HPOS. General practitioners are automatically recognised. Other vaccination providers must go through a registration process. Read more about ACIR including how to register.

Once registered you can request access to the ACIR service in HPOS by completing the online request access form. We will then send you a letter with an authentication file name specific to you. You can use your authentication file name to log on to the ACIR service by clicking on the ACIR log on only button on the HPOS home page.

If you want to access the ACIR service using your PKI certificate, you still need to complete the ACIR online request access form. Your access will be granted overnight. You can log on to HPOS using PKI the next day.

Request an ACIR report

  • select Australian Childhood Immunisation Register in the HPOS main menu
  • select reports
  • select request a report
  • select the required report
  • select request report
  • depending on the report you select, you will need to set the report parameters
  • select send report request

Modifying parameters of a requested ACIR report

  • select Australian Childhood Immunisation Register in the HPOS main menu
  • select reports
  • select modify reports
  • a list of reports that you have previously requested will appear, select the report you would like to modify
  • select modify/complete report or delete report if you wish to permanently remove the report
  • update the details for the report that you want to modify
  • select send report request

Viewing an ACIR report

  • select Australian Childhood Immunisation Register in the HPOS main menu
  • select reports
  • select view reports
  • a list of reports you have previously requested and are available to view will appear
  • select the report you would like to view
  • select view/download report

Viewing your claims summary

  • select Australian Childhood Immunisation Register in the HPOS main menu
  • select claims
  • select claims summary
  • type the receipt date range within the last 3 months
  • select ok and the summary of claims you have submitted online through the ACIR service will display

Viewing your most recent statement of payment

  • select Australian Childhood Immunisation Register in the HPOS main menu
  • select claims
  • select statement of payment
  • select the provider location for the statement you want to view
  • select view statement

Identifying a child or young individual and recording encounters

  • select Australian Childhood Immunisation Register in the HPOS main menu
  • select identify child
  • enter the child or young individual’s details. A unique match must be made in order for a child or young individual to be returned. Use the child's or young individual’s Medicare card number if possible as this criteria is most likely to return a unique match
  • select identify child
  • if a unique match can be made, the child's or young individual’s details are displayed, including their existing immunisation history and if they have any outstanding immunisation details
  • to record an encounter, complete the relevant information in the encounter details section
  • select record encounter(s)

Updating your contact details

Updating your contact details in the ACIR service will not update your details in the main HPOS site. Learn how to update your contact details in HPOS.

  • select Australian Childhood Immunisation Register in the HPOS main menu
  • select provider
  • select update provider details
  • enter your email address, fax number and select if you would like to receive email notifications to let you know when your ACIR reports have been produced
  • select update details
  • if you need to change your mailing address, select change mailing address
  • select the provider location where you would like your ACIR mail sent

If the location you need is not there or you would like to add a new location you can update your provider location details in HPOS.

Contacting ACIR using the secure email function

The ACIR secure email should predominantly be used to communicate corrections or modifications to immunisation details that already exist in the system. For example, a correction to a vaccination date of service or vaccine brand name.

Do not use the secure email function to submit new, or confirm existing immunisation details. You can submit new immunisation details through the record encounter function and confirm details using the identify child function or by requesting an ACIR report.

  • select Australian Childhood Immunisation Register in the HPOS mail menu
  • select secure email
  • your ACIR inbox will display
  • you can create, read, file, delete and reply to messages by selecting the applicable menu items
