Reports available from the AIR site

The AIR produces statistical, identified and access reports for authorised vaccination providers registered to use AIR.

You can access the AIR site through the Health Professional Online Services (HPOS).

The reports listed below are accessible based on the provider type who made the request. The provider type is set up when the provider registers with Medicare or the AIR.

  • DDMONCCYY: the date the report was produced.
  • Comma Separated Value (CSV): a file format which separates the information using commas. The information can be viewed in a database or spreadsheet application.

Statistical reports

AIR001A Number of individuals registered with AIR

This report provides the number of individuals registered with the AIR, by the locality and age of the individual.

The report includes the following age breakdown options:

  • birth date range, for example 01/01/2008 to 31/12/2008
  • age range, for example birth to 10 years, with a maximum age breakdown range of 10 years
  • age group, for example 0 to <2 months, 2 to <4 months, and so on
AIR002A Number (or percentage) of individuals who have received valid vaccinations

This report provides statistics on individuals who have received valid vaccinations, by locality and age. The information can be broken down by vaccination data type, date type and age breakdown.

Vaccination data type by:

  • disease vaccinated against, for example, diphtheria, tetanus, and so on
  • vaccine brand, for example IFHX, CMX, MMRSKB, and so on

Date type by:

  • age calculated at current date (the date the report is produced)
  • age calculated at vaccination date (date the vaccination was given)

Age breakdown by:

  • birth date range, for example 01/01/2008 to 31/12/2008
  • age range, for example birth to 10 years, with a maximum age breakdown range of 10 years.
  • Immunisation date range, with a maximum immunisation date range of 10 years
  • age group, for example 0 to <2 months, 2 to <4 months, and so on
AIR002B Number of individuals who have received valid vaccinations, by a selected provider This report provides the number of valid vaccinations administered by a specified provider. The information can be broken down by vaccination data type, date type and age breakdown.

Vaccination data type by:
  • disease vaccinated against, for example, diphtheria, tetanus, and so on
  • vaccine brand, for example IFHX, CMX, MMRSKB, and so on

Date type by:

  • age calculated at current date, (the date the report is produced)
  • age calculated at vaccination date, (date vaccination given)

Age breakdown by:

  • birth date range, for example 01/01/2008 to 31/12/2008
  • age range, for example birth to 10 years, with a maximum age breakdown range of 10 years
  • immunisation date range, with a maximum immunisation date range of 10 years
  • age group, for example 0 to <2 months, 2 to <4 months, and so on
AIR003A Number of individuals whose consent has been withdrawn

This report provides a count of individuals by locality, who have:

  • opted out of receiving immunisation history statements
  • withdrawn consent for their information to be supplied to a third party
AIR004A Number (or percentage) of valid vaccinations by provider type

This report provides the number or percentage of valid vaccinations by provider type and locality. 

The information can be filtered by age breakdown and date ranges.

Age breakdown by:

  • birth date range, for example 01/01/2008 to 31/12/2008
  • age range, for example birth to 10 years, with a maximum age breakdown range of 10 years

Date ranges by:

  • immunisation date range, with a maximum immunisation date range of 10 years
  • receipt date range, with a maximum receipt date range of 10 years
AIR005A Number of providers who have submitted valid vaccination information to the AIR

This report provides the number and percentage of providers who have submitted valid vaccination information to the AIR by provider type and locality.

The information can be broken down by vaccination receipt date range - for example, 01/01/2009 to 31/03/2009, with a maximum receipt date range of 10 years.

This report identifies individuals due/overdue for immunisation based on your Practice Incentives Program (PIP) practice ID. This information can be broken down by MBS service period and can list:

Immunisation status by:

  • individuals who are overdue for an immunisation service for a specified disease or all diseases
  • all individuals

These options can also include an age breakdown by:

  • birth date range, for example 01/01/2008 to 31/12/2008
  • age range, for example birth to 10 years, with a maximum age breakdown range of 10 years

Output options:

  • individual’s details - name, address and overdue status
  • immunisation history of each individual - all vaccines recorded on the AIR at the time the report is produced
  • due/overdue antigens - due/overdue date and antigens for each individual on the report

AIR011A Due/overdue report - by locality

This report identifies individuals due/overdue for immunisation, by their locality. Information can be broken down by postcode or a postcode range with the following options:

Immunisation status by:

  • individuals who are overdue for an immunisation service by a specified period of time, up to 12 months
  • individuals currently due for an immunisation for a period of time, up to 6 months
  • individuals overdue for an immunisation service that have no vaccination history
  • all individuals in the postcode/postcode range selected

These options can also include an age breakdown by:

  • birth date range, for example 01/01/2008 to 31/12/2008
  • age range, for example birth to 10 years, with a maximum age breakdown range of 10 years
  • due/overdue by selected diseases or all diseases

AIR011B Due/overdue report by - vaccination provider

This report identifies individuals due/overdue for immunisation, by a vaccination provider. The provider requesting the report must have immunised the individual at least once.

The following options are:

Immunisation status by:

  • individuals who are overdue for an immunisation service by a specified period of time, up to 12 months
  • individuals currently due for an immunisation for a period of time, up to 6 months
  • all individuals immunised by vaccination provider, within a specified date range

These options can also include an age breakdown by:

  • birth date range, for example 01/01/2008 to 31/12/2008
  • age range, for example birth to 10 years, with a maximum age breakdown range of 10 years
  • due/overdue by selected diseases or all diseases

AIR012A Database exchange report

This report allows providers to check they have accurate and up to date records for specific patients. Providers can upload a file containing details of up to 300 individuals displayed in CSV format. A unique match must be made between the uploaded record and the individual’s registration on the AIR for the individual’s update to be included in the report.

Output options are:

  • individual’s details - name, address and overdue status
  • immunisation history of each individual - all vaccines recorded on the AIR at the time the report is produced
  • due/overdue antigens - due/overdue date and antigens for each individual on report
  • provider details - name, address and phone number of providers who have given vaccinations to the individuals reported and details of the information provider
  • natural immunity/medical contraindication details

The file also lists the individuals included in the uploaded file that could not be matched to a record on the AIR. This may be due to a restriction placed on releasing the individual’s details.

AIR015A History update report

This report identifies individuals where the immunisation information or service was supplied or administered by other providers, within a locality. The information in the report can be used to make sure providers have up to date and accurate records. The information can be broken down according to the date the information was processed on the AIR - for example 01/03/2009 to 31/03/2009.

This report is produced in CSV format and doesn’t necessarily include the individual’s complete immunisation history. Immunisation episodes are displayed only where the information provider or vaccination provider (depending on the option selected) is not the requesting provider, and the data was processed within the information date range.

Output options:

  • individual’s details - name, address and overdue status
  • immunisation history of each individual
  • due/overdue antigens - due/overdue date and antigens for each individual on report
  • provider's details - name, address, and phone number of providers who have given vaccinations to the individuals reported and details of the information provider

AIR016A Provider contact details

This report is produced in CSV format and provides a list of provider's contact details identified by locality. The report breaks down the information by the type of provider for example GPs and general practices and/or public provider types.

Once the type of provider has been selected, the report is produced according to the type of participation, including:

  • providers who have submitted data to the AIR
  • providers who have not submitted data to the AIR
  • all providers registered
  • If the selection is made to include providers who have or have not submitted information to the AIR, the number of months since the information has or has not been submitted, or a date range in which information was or was not submitted, must be specified.

    The output for GPs and general practices displays the:

  • provider number
  • registration type
  • name, address and phone number

The output for public provider types displays the:

  • provider number
  • registration type
  • business name, address and phone number
AIR018A Immunisation practice report for Primary Health Networks

The report identifies practices registered for the Practice Incentives Program within the Primary Health Network boundaries at the time the report is produced. 

The report shows if the practice received the AIR010A report.

AIR021A Due/overdue report - by Medicare GP

The report identifies individuals who are due/overdue for one or more antigens for all locations the GP is practising at, when the report is requested. This report helps GPs follow up individuals who are classified as due or overdue for one or more antigens.

Information from Medicare and the AIR is used to determine if an individual is to be included in a GP's report. Individuals who have attended the GP for a Medicare service in the last 12 months are included if their immunisation history meets the criteria identified in the report parameters.

The following options are:

Immunisation status by:

  • individuals who are overdue for an immunisation service by a specified period of time, up to 12 months
  • individuals currently due for an immunisation for a period of time, up to 6 months
  • individuals overdue for an immunisation service that have no vaccination history
  • individuals who attended for a Medicare service in the last 12 months

These options can also include a breakdown by:

  • birth date range, for example 01/01/2008 to 31/12/2008
  • age range, for example birth to 10 years, with a maximum age breakdown range of 10 years
  • due/overdue by selected diseases or all diseases

Access report

AIR031A Internet access statement

All access to the AIR site is recorded on the system. The AIR031A report can provide information about what reports were requested previously and inform providers about previous access to the AIR site using their log on details. Vaccination providers are encouraged to view their access reports regularly to ensure there has been no unauthorised access to the AIR account.

Statements are automatically produced and available online each month.

If a vaccination provider suspects that unauthorised access was obtained on their log on, they must report this breach of access to the AIR immediately.
